Helen improved its control over its tendering documents

Helen Oy is one of Finland’s largest energy companies. Providing electricity, heat, cooling and various kinds of energy services to more than 400,000 customers in all parts of Finland, Helen has been Cloudia’s customer since 2012. Cloudia Sourcing has been used very actively at Helen, given that, to date, nearly 600 procurements have been put out to tender.

Indeed, the reason why Helen started using Cloudia Sourcing was precisely to make the administration of competitive tendering processes more effective. The company wanted to facilitate the processing and archiving of tendering documents as well as the standardisation of calls for tenders and tender comparisons.

“The digitalisation with Cloudia Sourcing has simplified the opening of a competitive tendering, among other things. We save time and costs now that the amount of manual work has been reduced,” says Riitta Juutilainen, procurement specialist at Helen Oy.

Structured tenders reduce the workload

According to Juutilainen, the utilisation of tender templates prepared using Cloudia Sourcing has simplified and unified Helen’s procurement processes.

“The tenders we receive are more in line with the call for tenders because the system requires that the tenderers answer the selected questions and download the requested attachments as part of the call for tenders. This makes our process more effective.

Cloudia Sourcing has allowed Helen Oy to improve the effectiveness of its operations related to competitive tendering, get better control over its procurement processes and clarify its operating models.

“I can wholeheartedly recommend Cloudia Tendering especially for those contracting entities that want to receive tenders in a pre-defined format and digitalise the procurement process.”
